- Assist in the preparation and processing of leasing documents, including conducting background checks on prospective tenants, drafting tenancy agreements, handling renewals, and managing terminations.
- Schedule and conduct property site visits for prospective tenants, ensuring a professional and informative experience.
- Follow up with prospective tenants to gauge interest and manage rental proposals, facilitating smooth communication.
- Collaborate with maintenance teams to promptly address tenant-related issues and ensure a positive tenant experience.
- Support tenant move-ins and move-outs by coordinating inspections and overseeing the handover and surrender process.
- Maintain accurate and up-to-date records of tenant information, including contact details, tenancy agreements, and other relevant documentation.
- Prepare marketing materials and keep property listings updated across various online platforms.
- Professionally handle incoming phone calls, emails, and walk-in inquiries, ensuring timely and clear communication with potential tenants.
- Assist in preparing leasing reports and other required documentation for management review.
- Monitor tenant utility payments to building management or landlords, handling any necessary back-charges.
- Prepare payments for related expenses, such as Quit Rent, Assessment, and other utility charges, when required.
- Contribute to marketing efforts by posting advertisements and updating property listings on social media platforms and real estate websites.
- Assist in the collection of rent, security deposits, and administrative fees, ensuring accuracy and timeliness.
- Prepare and issue rent reminders, notices, and tenant correspondence as necessary.
- Maintain organized and accurate financial records related to leasing transactions.
- High school diploma or equivalent; an associate degree or higher in business, real estate, or a related field is preferred.
- Prior experience in property management, leasing, customer service, or a related field is advantageous.
- Strong customer service skills, with the ability to build and maintain positive relationships with tenants.
- Excellent written and verbal communication skills, with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with property management software is preferred.
- Ability to manage multiple tasks simultaneously, prioritize effectively, and work well under pressure.
