ResponsibilitiesEvent Planning and Management
- Manage all aspects of event planning, including venue sourcing, vendor negotiation, contract management, and budget tracking.
- Develop comprehensive project plans and timelines to ensure all deadlines are met.
- Secure and manage event speakers, content, and presentations.
- Coordinate event logistics, including A/V, catering, registration, and transportation.
- Serve as the main point of contact for external vendors and internal stakeholders throughout the planning process.
- Own end-to-end management of 5-10 events per year, ranging from small workshops to large conferences.
- Collaborate with the Marketing team to develop promotional materials and communication strategies for events.
- Develop clear and engaging communications for attendees, speakers, and internal teams.
- Manage event registration platforms and attendee databases.
- Oversee all event execution, including setup, live management, and teardown/wrap-up.
- Ensure a seamless and positive experience for all attendees and participants.
- Manage on-site event staff and volunteers.
- Troubleshoot issues and adapt to unexpected changes quickly and effectively.
- Gather and analyze event metrics and feedback to measure success and identify areas for improvement.
- Conduct post-event reconciliation and reporting, including budget analysis.
- Maintain an organized repository of all event-related documents, including contracts and final reports.
- 3+ years of experience in event management, event marketing, or a related field.
- Proven ability to manage multiple complex projects simultaneously under tight deadlines.
- Strong vendor management and negotiation skills.
- Excellent written and verbal communication skills.
- Demonstrated experience managing event budgets.
- Experience with both virtual and in-person events.
- Bachelor's degree in Marketing, Communications, Hospitality, or a related field.
- Possesses meticulous attention to detail in all aspects of event planning and execution.
- Proactive and resourceful in identifying and resolving issues that arise during the event lifecycle.
- Collaborates effectively with cross-functional teams and stakeholders.
- Thrives in a fast-paced environment and manages change effectively.
- Experience in brand experience, marketing, or event management
- Strong creative thinking with a flair for design and experiential concepts
- Excellent writing and presentation skills for proposals
- Proven ability to manage events and campaigns efficiently
- Occasional extended hours and weekend commitment is required.
