Job Description:OverviewWe are seeking a highly motivated and detail-oriented Event/Activation specialist to join our team. This role is responsible for the planning, execution, and wrap-up of various events, including virtual, hybrid, and in-person experiences. The ideal candidate will have strong project management skills, exceptional communication abilities, and a passion for creating engaging and successful events.
ResponsibilitiesEvent Planning and Management
  • Manage all aspects of event planning, including venue sourcing, vendor negotiation, contract management, and budget tracking.
  • Develop comprehensive project plans and timelines to ensure all deadlines are met.
  • Secure and manage event speakers, content, and presentations.
  • Coordinate event logistics, including A/V, catering, registration, and transportation.
  • Serve as the main point of contact for external vendors and internal stakeholders throughout the planning process.
  • Own end-to-end management of 5-10 events per year, ranging from small workshops to large conferences.
Marketing and Communication
  • Collaborate with the Marketing team to develop promotional materials and communication strategies for events.
  • Develop clear and engaging communications for attendees, speakers, and internal teams.
  • Manage event registration platforms and attendee databases.
On-Site/Virtual Execution
  • Oversee all event execution, including setup, live management, and teardown/wrap-up.
  • Ensure a seamless and positive experience for all attendees and participants.
  • Manage on-site event staff and volunteers.
  • Troubleshoot issues and adapt to unexpected changes quickly and effectively.
Post-Event Analysis
  • Gather and analyze event metrics and feedback to measure success and identify areas for improvement.
  • Conduct post-event reconciliation and reporting, including budget analysis.
  • Maintain an organized repository of all event-related documents, including contracts and final reports.
QualificationsRequired Skills and Experience
  • 3+ years of experience in event management, event marketing, or a related field.
  • Proven ability to manage multiple complex projects simultaneously under tight deadlines.
  • Strong vendor management and negotiation skills.
  • Excellent written and verbal communication skills.
  • Demonstrated experience managing event budgets.
Preferred Skills
  • Experience with both virtual and in-person events.
  • Bachelor's degree in Marketing, Communications, Hospitality, or a related field.

  • Excellent writing and presentation skills for proposals
  • Proven ability to manage events and campaigns efficiently
  • Occasional extended hours and weekend commitment is required.
