1.0 Job Overview 1.1 The Executive shall be responsible for the overall and maintenance of custom matters standard of procedure and to monitor the custom stock card coordinators to perform custom process by following the SOP. 1.2 The Executive responsible for validating and counter check documents such as Custom Lot Number / HAWB number / Inbound Documents / Value / Date / Time / CDS number / Inventory Qty. 1.3 Responsible to ensure Custom Stock Card details to upload into Intel portal System by Inbound team. 1.4 Responsible to providing solution such a every problem encounter on any upon uploading the stock card from the system. 1.5 To ensure to support staff on daily activities in meeting customer's expectations. 1.6 To Recruit, train, develop Coordinator by improving & efficiency in Stock Card Management, productivity and cost. 1.7 To ensure compliance to process to achieve the warehouse inventory accuracy and integrity. 1.8 To ensure compliance of customs documentation and records. 1.9 To ensure compliance for all internal and external required process. 1.10 To ensure improvement in corrective & preventive actions for issues. 1.11 To ensure timely reports sent to internal and external customers whenever required. 1.12 To plan and organize sufficient daily resources for operation efficiency and function well. 1.13 Regular consultation with Reporting Manager for overall performance and planning. 1.14 To accept any job responsibilities that may be assigned by the management from time to time. 2.0 Job Responsibilities (duties / task) 2.1 Coordinate with Customer, External Parties, Custom Dept. 2.2 To manage a group of Stock Card Coordinators 2.3 To maintain good record keeping on all the Stock Card management and secured at all times. 2.4 To guide and advice the coordinators on action taken. 2.5 Support customer's request for any ad-hoc request or any other activity within the Stock Card Management scope of work. 2.6 To ensure all customs documentation and records are up to date and comply with customs requirements and procedures. 2.7 Ensure customer service team is providing the necessary information as agreed upon to the customers. 2.8 Able to resolve Stock card issues with Internal / Custom / External Parties / Customers. 2.9 Ensure warehouse/customer service team's compliance to SCHENKER company policy and procedure and work ethics, adhere to SOPs and operational guidelines. 2.10 Ensure continuous improvement and troubleshooting for good corrective and preventive actions for issues and prepare IR/CA to related parties. 2.11 Ensure timely reports sent to internal and external customers after proper vetting and validation. This include constant updates and reporting to the management and customers. 2.12 Plan sufficient resources for operation efficiency and smooth function. 2.13 To monitor the operation staffs attendance and work discipline. 2.14 To attend to customer's physical inventory as and when required. 2.15 To attend to customer's queries on operational issues. 2.16 To update the SOP as and when required. 2.17 To escalate to Management on any operation issues including safety, security, facility etc 2.18 To respond to customer or related parties email promptly. 2.19 To submit KPI weekly and monthly with the Manager Report timely. 3.0 Job Specification (qualification, experience, skills, attributes) 3.1 Minimum STPM/Diploma/Degree in Logistics & Warehouse Management. 3.2 Fluency in English and Bahasa Malaysia language. 3.3 Able to communicate with all level, emails. 3.4 Trouble shooting skills to establish root causes and provide effective solutions. 3.5 Good communication and interpersonal skills with all levels of people. 3.6 Management skills for people management, planning and organizational skills
