  • Executive Operations to assist Operation Manager in ensuring the smooth and efficient administrative of the) Carpark Management , soft services Operations (Housekeeping, Waste Management, Pest Control and Landscaping and other ad-hoc tasks related to support daily mall operation running smoothly.
Job Responsibilities
  • Monitoring / update on outsourcers soft service (Housekeeping, Waste Management, Pest Control and Landscaping) attendance and discipline with prepares a proper recording monthly report.
  • Assist in research, evaluates for operations related purchases, supplies and equipment based on price, service, quality, and warranty to meet budget and implementation time.
  • Prepare and maintain monthly operations expenses & income reports and assist in preparing the yearly budget on operation expenses and income
  • Keeping track regularly and control operating expenses and income according to approved annual budget
  • Inventory and ordering of stock inventory, general items purchasing and tools for ops division.
  • To upkeep record of stock inventory, general items, ad-hoc and tools for ops division
  • Process purchase orders, invoices and delivery of all operations procurement for approval and submission to Finance
  • Coordinate regular meetings with the outsource vendor on operational issues and submit vendor performance review report to SOM. Attend the operations meetings when required.
  • Manage, review, renew and evaluate contracts in relations to Cleaning, Waste Management, Pest Control, Landscaping, Carpark Equipment and other contracts under the purview of operations
  • Lead the car park team to manage the operation of car park systems and ensure smooth traffic flow ingress and egress. Work with the outsource team such as valet parking team to control the traffic
  • Defect Summary, raising work orders and repair works monitoring in ServeDeck system
  • Organize and attend regular meetings with internal departments for alignment and work coordination from time to time.
  • Maintain a central filing system on documents accordingly.
  • Prepare a new SOP and submit for review and approval on annual basis and as per required.
  • Ad -hoc duties will be assigned with related administrative duties from time to time.
Requirements
  • Diploma Business administration or equivalent field.
  • Possess at least 3- or 5 years’ experience in Car park Operations / Softscape operation .
