- Payroll Operations & Processing
- Managing the complete payroll cycle, including creating new hire profiles, meticulous data entry, and comprehensive leave reconciliation for monthly payroll in Japan & Malaysia.
- Providing critical support to the Payroll Manager for all month-end, quarter-end, and year-end closing activities.
- Calculating accurate final payments for both employer and employee-initiated separations, strictly adhering to company policies and local legislation.
- Assisting with shadow payroll processing for international assignments and generating ad-hoc reports to support business needs and decision-making.
- Data Integrity & Compliance
- Ensuring the highest level of data accuracy by auditing records against employment contracts, maintaining employee master data, and ensuring compliance with all relevant tax and superannuation regulations.
- Handling essential regulatory reporting requirements, such as reporting exits and job changes to immigration authorities, and ensuring all statutory obligations are met.
- Performing detailed reconciliations for various payroll activities, managing superannuation portal data entry, and ensuring timely payments to clearing houses.
- Employee Support & HR Administration
- Serving as a primary point of contact for employee payroll and HR administrative queries via shared mailboxes and casing tools.
- Providing expert advice on HR system updates and fostering clear communication with employees, managers, and team assistants.
- Contributing to the overall efficiency of the hire-to-retire department through general administrative support.
- Proven experience as a Payroll Professional and/or HR Administrator, with a strong understanding of payroll processes and HR administrative tasks and regulations.
- Fluency in Japanese (written and spoken) to support Japan operations and collaborate with Japanese-speaking colleagues.
- Strong attention to detail, accuracy, and organizational skills, with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills with a customer-centric mindset.
- Proficiency in Microsoft Office Suite.
- Ability to work both independently and collaboratively, with a proactive, solution-oriented approach.
