Position TitleHR & Admin ExecutiveIndustryPackaging & Paper industryLocationCheras, Kuala LumpurAbout the JobThe HR & Admin Executive is responsible for supporting day-to-day HR operations and administrative functions to ensure smooth office management and compliance with statutory requirements. This role includes recruitment coordination, payroll processing, employee records management, and general administration support while ensuring alignment with company policies and local employment regulations.Job Responsibilities
  • Assist in the full recruitment cycle including job advertisement posting, candidate sourcing, phone screening, interview coordination, and preparation of employment contracts.
  • Ensure hiring processes are aligned with local regulations, company policies, and procedures.
  • Coordinate and assist in the implementation of HR policies and procedures.
  • Maintain and update employee records including personal files, leave records, salary records, absenteeism, and disciplinary records.
  • Process payroll and administer employee benefits.
  • Prepare statutory contributions and ensure compliance with requirements under the Employment Act 1955.
  • Manage matters pertaining to statutory submissions and government-related requirements.
  • Handle work pass applications including monitoring passport/work permit expiry dates, FOMEMA medical check-ups, hostel arrangements, and transportation coordination.
  • Participate in Integrated Management Systems implementation (ISO 9001:2015, ISO 14001:2015 & ISO 45001:2018).
  • Oversee general administration matters including monthly pantry beverages, stationery supplies, water dispensers, and utilities bill monitoring.
  • Maintain a clean, organized, and conducive working environment.
  • Coordinate HR-related projects such as meetings, training programs, employee surveys, and welfare activities.
Qualifications & Experiences Needed
  • Minimum Diploma or Degree in Human Resources or related field.
  • At least 3 years of working experience in a similar capacity, preferably within the manufacturing sector.
  • Proven experience as an HR Assistant or in a relevant HR/administrative role.
  • Good knowledge of the Employment Act 1955 and statutory requirements.
  • Fluent in Malay and English (written and spoken).
  • Trustworthy, reliable, and able to maintain a high level of confidentiality.
  • Strong organizational skills with good time management.
  • Excellent communication and interpersonal skills.
  • Computer literate in MS Word, Excel, and PowerPoint.
  • Knowledge of SAP and SuccessFactors is an added advantage.
